Our organization uses OfficeGateway (www.officegateway.ca) - shared calendar, CRM, invoicing and document management, OfficeGateway is integrated with Skype for chat and Voip, Gmail and GoToMeeting. We are a 4 person company and we spend less then $150 a month CDN. Not all free but it works very well for our group.

My most exciting recent find has been Yugma's new free web conferencing tool. Forget netmeeting, and forget expensive monthly fees. You can actually do web conferencing and desktop sharing with UP TO 10 other people for free. Free forever. Not a 14 or 30 day trial. It's the app I've been waiting for. Perhaps like you, I'm talking with folks from all over, all day long. It's helps to get on the same page. Best part is that Yugma is very easy and very fast to launch. Oh, and it works on Windows and Mac. Definately worth trying out. See https://www.yugma.com

This is a great overview of the most important ways for working together in teams. What I miss is CONTEXT. The main problem is: Tool (or channel) fragmentation! If team members use 4-5 methods in combination, where resides the project information? What or who keeps everything nicely together in context?

One way to bring content (files, tasks, notes), interactions (IM, voice, video) and users (profiles, relations) together are shared P2P workspaces. Rich client technology provides the required functionality and local storage for offline use.

Collanos Software (www.collanos.com) offers Workplace, a solution for collaboration needs of teams who demand a secure, cross-platform, on- and off-line and server-less solution. The offering is free. (Disclosure: I am the founder of Collanos.)

I love love love WebEx+AIM Pro. For one to one communication, I use AIM Pro. AIM Pro, in addition to usual IM capabilities and VoIP/Video, has ability to share desktop.

For more formal meetings, I use WebEx Meeting Center. MC has the best integrated audio with features like 'Look Who is Talking', mute/unmute, call back, etc. I can set up my audio at the same time as WebEx Meeting...right from my Outlook. WebEx also has video where you can see 4-5 people at same time....very cool!

The best thing about WebEx is ability to record the whole meeting, audio included, and have the recording sit on WebEx data center. I simply send the link to people who missed the meeting and they can catch up by playing the recording back.

In general, I find virtual meeting so much more effective then face to face meeting....no travelling, no conference room issues (unplugged computers, projectors with blown out bulbs, poor audio, etc), easy way to see each other's work by desktop sharing. F2F meetings are so last century to get real work done....they are still great for brain storming and building social bound but I prefer virtual meetings to get things done.

I love, love, love video conferencing for collaboration with folks who aren't in the office. Email: not so much. It's too easy to miscommunicate. Phone is a close second to video, but there's a lot to be said for actually seeing the person and communicating with them face to face; even if it's a virtual representation of their face. I really only like IM for quick notes. If a conversation starts to get too detailed or complex I suggest switching to video.

These are all great methods, but also, there's the idea of tailoring the solution to the object of your - um - communications? I have clients that are great in email, totally sticking to the point and others who, when give the option of communicating via writing, Can Not Focus.

And written communication, be it chat or email or document sharing, can be a slow way to resolve open issues with ramblers. I have a strong preference for email/chat/doc markup methods, but sometimes, you gotta have a conversation.

Pretty sure iChat allows for a 4-way conference (you and 3 others), though the hardware--and especially, as you say, bandwidth--requirements are fairly high.

For arranging meetings I've found www.timetomeet.info an excellent web app to use alongside an ical enable calendar like www.airset.com (which I use and highly recommend). www.Userplane.com isn't too bad for multi-person video chat. I like www.vyew.com for web conferencing (no audio or online polls). All of these are free.
